When your sales numbers update

Which figures are live, which come from an overnight rebuild, and why today's sales are often missing.

This is the guide to read before deciding a number is wrong. Some sales figures are counted the moment you open the page; others are rebuilt overnight. Both are correct — they are just measuring at different times.

Live figures

These count your orders as they stand right now, so a sale that arrived an hour ago is included:

  • The Transactions table and its four totals, and its export.
  • Work in Progress.
  • The Completed and Invoiced summary cards.
  • Tribe Results — the Sales This Year and Sales Last Year columns.
  • Sale Products, Sale Order Products and Production Reports.
  • Everything on a food brand dashboard.

Overnight figures

TODAY'S SALES ARE NOT ON THE DASHBOARD YET
The headline Sales figure comes from the overnight rebuild, so trading today will not appear until tomorrow. If somebody rings to say a large sale is missing, open Transactions — that is live. If the sale is there, nothing is wrong and the dashboard will catch up.

Choosing a platform switches the source

A PLATFORM FILTER MAKES THE WHOLE DASHBOARD LIVE
The overnight figures are not broken down by platform, so selecting one switches the dashboard to counting your orders live instead. The numbers will jump — and the platforms viewed one at a time will not add up to All Platforms, because the two are measured differently. Compare like with like: either all platforms, or one at a time, but not across the two.

Other things that take a night or more

  • Invoiced figures are filled in overnight, so a same-day invoice shows nothing until the next morning.
  • A new industry mapping takes about two nights to appear in Sales by industry.
  • Changing a referral type mapping only affects recent orders — see the guide on attribution.
  • Changing your status mapping does nothing to the graphs until you recalculate.

Before you report a problem

  1. Check the sale exists in Transactions.
  2. If it does, wait for the overnight rebuild before comparing dashboards.
  3. If it does not, check the Connection Status Report — the sync may have failed.
