Reporting

The membership dashboard

Understand membership revenue, member movement and accounts needing follow-up at organisation and tribe level.

Last updated October 14, 2026

The dashboard opens on four tiles — Members / Subscribers, Active Packages, YTD Revenue and Accounts Receivable — with charts for active memberships and revenue over time.

Needs attention

This strip is the most valuable thing on the screen. It surfaces the three ways money quietly stops arriving:

What it showsWhy it matters
Failing cardsCards declined in the last 30 days. After four failed days nothing is retried, so these do not fix themselves.
Members 90+ days overdueDebt old enough that it is unlikely to be an oversight.
Memberships ended but still activePast their end date and still able to bill.
A WEEKLY HABIT WORTH FORMING
Clearing this strip once a week catches nearly every revenue leak the module can produce. Nothing else in Memberships will tell you a member has silently stopped paying.

The dashboard shows how long ago its figures were calculated. They are not live to the second — if you have just recorded a payment, give it a moment before expecting the tiles to move.

At tribe level

Open a tribe, select Memberships, then choose its dashboard in the left-hand menu. The dashboard contains headline cards, Collection health, member movement, recurring revenue and year-on-year charts for that tribe. To search or edit a member, select Members / Subscribers in the same menu.

Member movement

The movement chart shows starts and returns, ends, and net movement over the last 12 months. The headline counts cover this month through today. A start means a person gains membership coverage; an end is counted the day after their last dated package ends. Overlapping packages and renewals without a gap count as continuous coverage. A person who leaves and returns more than once can appear more than once in the totals.

Reading historical movement
These figures use current tribe assignments, current package statuses and recorded dates. They cannot reconstruct past tribe transfers, or pauses and cancellations without an end date. They measure coverage changes rather than account registrations.

Monthly recurring revenue

The recurring revenue chart shows the monthly value of recurring packages, excluding one-off fees. The headline compares today’s monthly recurring revenue (MRR) with the previous month end. A percentage appears when the previous value is greater than zero. Earlier points are reconstructed from recorded dates and can change when records are edited. Select View recurring revenue report for the detailed breakdown.

Collection health

At tribe level, Collection health brings together the accounts requiring follow-up. The overdue balance excludes current charges; the chart separates current debt from the overdue age bands. Select Review overdue accounts to open Cash Position. The card-failure list contains active accounts with a failed card payment in the last 30 days and no later successful payment. Select a name to open the member, or Card Transactions to review payments.

The 91+ days headline is only the debt in that age band. The follow-up list includes accounts at least 90 days overdue and shows each account’s full outstanding balance, which may also include newer charges. Each list shows up to five accounts. Select Accounts Receivable for the receivables report. A warning also identifies ended memberships still marked active.

Comparing this year with last year

The tribe dashboard has two comparison graphs below the headline cards. Both revenue lines start at zero and show cumulative billed revenue from the start of each year, including credits and corrections. The member-count lines show registered accounts at each month end, including inactive accounts. Use the year labels in the legend to identify each series, and hover over a point to read its value.

Above the revenue graph, the headline is revenue from the start of this year through today. Above the member graph, it is the registered account count through today. Each shows the change against the same date last year, as a number and, when the previous value is positive, a percentage. The current month stops at the same day in both years; future months this year are left blank. The remaining months of last year stay visible for context.

What the member graph measures
Registered accounts are not the same as active subscriptions. The graph uses registration and recorded deletion dates for accounts currently assigned to this tribe. It does not reconstruct past transfers between tribes or past active and inactive status changes.
