Changing a colleague’s email address
Request an email change without creating another account, and correct an invitation sent to the wrong address.
Last updated October 14, 2026
An organisation administrator with Edit Organisation Users permission can request a new login email for a colleague who belongs to that organisation only. The colleague confirms the new address from an email before it becomes their login. Their existing account, work and access stay in place.
Requesting a change
- Open your organisation, choose Settings, then Users, and select the person.
- Select Change email beneath their email address.
- Enter the New email address. It must not be registered to another Gorilla Dash account or conflict with another person or invitation in your organisation.
- Select Send verification email. Their existing address remains active while the change is pending.
- Ask the colleague to open the message in their new mailbox, follow the link, then select Confirm email change on the confirmation page. The link expires after 24 hours.
- After confirmation, they use the new email with their existing password and two-factor authentication. The previous mailbox receives a notice naming the organisation and the administrator who requested the change.
While confirmation is pending
The person’s details show Waiting for … to confirm the new address, together with the date and time the link expires. Use Resend the confirmation link if the message did not arrive. Resending, or selecting Change email again and entering another address, replaces the previous link, so only the latest message works. Check the spelling and ask the colleague to look in their spam folder before resending. Each administrator can make up to six of these requests a minute; if you see a message asking you to wait, try again a minute later.
If the request was a mistake, select Cancel email change. Gorilla Dash asks you to confirm first, because cancelling cannot be undone: the link already sent stops working and the colleague keeps their current login email. To change it later, send a new request.
Correcting an invitation before someone joins
For a person with no linked account, Change email offers Update invitation. This corrects the selected invitation in place and sends a replacement to the new address. They complete registration and email verification through that invitation. You do not need to detach the person, remove their roles or create their account yourself. The previous address receives a notice of the correction.
When an administrator cannot change the login
People linked to more than one organisation, and Gorilla Dash administrators, change their own login email in My Account. Only an Owner of the organisation can change the login email of another Owner, or update an invitation that gives someone the Owner role; an administrator who is not an Owner sees a message saying so. Inactive organisation links and team-member links count when deciding whether the account is shared. If an account becomes shared, an administrator loses permission, the person is made an Owner by the time the link is used, or somebody registers the requested address while a change is pending, confirmation is refused. Ask your organisation administrator or Gorilla Dash support to check the account rather than making a duplicate.
