Who Can See What
Who can see an article
The settings that decide who reads an article — draft or published, team members or tribe admins only, child organisations, and public — and how they combine.
Last updated September 16, 2026
An article has several visibility settings rather than one, because the audiences they control are genuinely different — your own staff, the tribes, organisations beneath yours, and the general public. They combine, so it is worth understanding each before you rely on any of them.
The settings
| Setting | What it controls |
|---|---|
| Status | Draft or Published. A draft is visible to nobody but the people who administer the Knowledge Base, whatever else is set. |
| Team member visibility | All tribe team members, Tribe admins only, or Specific roles. Use a restriction for anything a franchisee owner should see but their counter staff should not. This appears only when Visibility is set to Restricted — choosing Public hides it, because a public article is readable by everyone regardless. |
| Other organisations | Do not share with other organisations, All child organisations, or Pick specific organisations — how far down the article travels to the organisations beneath yours. Also shown only under Restricted. |
| Visibility: Public | The radio reads "Public (visible to everyone in this organisation)", which understates it. A Published article set to Public is readable by anybody with the link, signed in or not, and appears on your public support page. Restricted is the alternative, and it is what opens the audience settings above. |
| Show on Support Screen | Lists the article on the in-app Support screen that signed-in users see. It is not what makes an article public, and it is not required for the public page. See the guide on publishing to your support screen. |
Changing many articles at once
The Articles list lets you select several articles and apply one change to all of them: Make Public or Make Private, Show on Support Screen or Hide from Support Screen, visibility to all team members or to tribe admins only, and adding or removing a category.
This is how you tidy a library that grew without a plan. It is also how a hundred internal articles get published by accident, so check what is selected before you apply anything — particularly Make Public.
What new articles start as
Every new article starts the same way, and there is no screen for changing where it starts. A new article is a Draft, Restricted rather than Public, visible to all tribe team members, not shared with other organisations, and not on the Support screen. So an article you want published to customers needs the settings above changed on it deliberately, every time.
