The filters, the columns and the bulk actions on the contacts list — how to get from everyone to exactly the people you want to work.

The contacts list is where most CRM work starts. Its job is to get you from every contact down to the twenty you are going to do something about.
The filters
| Filter | What it does |
|---|---|
| All Contacts / My Contacts | Everyone, or only the contacts assigned to you. |
| All leads / Active Leads / Non-leads | Whether you are looking at people being worked, or the rest of the database. |
| Assigned To | One rep, everyone, or Unassigned — the last is the one to check weekly. |
| Category | Narrow to a group of contacts you have classified. |
| Lead age | Added in the last 7, 30 or 90 days. |
| Search | Name, email or phone. |
Segments
Segment by groups the rows rather than filtering them, so you see the whole list broken into sections — by stage, by owner, by category. Useful for "where is everything sitting?" rather than "who do I call next?".
The columns that do the work
- Last contacted — when anyone last actually spoke to them, and how. Sort by it to find who has gone quiet.
- Next task — what is booked. An empty cell on an active lead is a lead nobody is going to call.
- Assigned to — who owns it.
Doing something to a lot of them
Tick the rows and use Bulk Edit to reassign, categorise or tag them in one go, or to add the whole selection to a call list. It is the fastest way to turn a filtered list into a piece of work somebody owns.
