Emailing entries to your tribes

Sending each tribe a report of the people who entered with them — and how wide that goes.

Email Entries on a promotion sends every tribe with entries a report of their own entrants, as a PDF attachment, with a message you write.

Sending it

The dialog is titled Email Entries to Tribes and asks for a Message, which is required. Press Send and you are told Tribes have been notified. The email arrives with the subject Promotion Entries Report and an entries.pdf attached.

It goes to everybody

ONE CLICK, NO CONFIRMATION, NO UNDO
Every active user of every tribe that has at least one entry receives it — not just the manager, and not just the tribes you were thinking of. There is no confirmation step and no way to recall it. Write the message, read it back, then send.

What to write

The message is the whole point — the PDF is just a list. Say what the competition was, what you want the tribe to do with the names, and by when. "Attached are the people who entered our winter competition at your store. Please call each one within a week and offer them a quote" produces follow-up; a bare "here are your entries" does not.

It is a snapshot

The PDF captures the entries as they stand when you send. Entries arriving afterwards are not in it, so send it once the competition has closed — or send again later, which produces a fresh report.

The alternative

If your tribes use Gorilla Dash daily, switching on Show entries to tribes is better than emailing a PDF — they see entries live, and can record a follow-up status you can then report on. Use the email for tribes that will not log in.
