Asking for photographic evidence against any checklist item, and making it compulsory before the check can be submitted.

Any item on a checklist can ask for a photograph or a video alongside its answer, and you can insist on it. A pass with a photograph attached settles an argument three months later; a pass on its own does not.

Setting it up

  1. Open the checklist template under Compliance Settings and expand the item.
  2. Set Evidence to capture to Photo, Video, or Photo or video.
  3. Turn on Evidence required before submit if the check must not be submitted without it.

This is separate from the Photo answer type. Use the answer type when the photograph is the answer; use evidence when the item has a real answer and the picture is the proof.

What the person conducting the check sees

  • A capture button under the item, which opens the camera on a phone rather than the file browser.
  • The right file type only — asking for video will not accept a screenshot.
  • On a required item with nothing attached, the button turns amber and is marked Required.
  • Each file uploads as it is taken, so nothing is lost if the phone drops out mid-visit.
WHY IT UPLOADS ONE AT A TIME
A forty-item visit with photographs is a lot to send at once. Each file goes up the moment it is captured, so a submit at the end of the visit carries only the answers and takes a moment on a weak signal.

What happens if it is missing

The Submit button stays disabled while a required item has no evidence, and the items still outstanding are listed above it. The rule also holds on the server, so it cannot be worked around.

ADD THE REQUIREMENT BEFORE THE CHECKS ARE CREATED
A check takes its own copy of the checklist the moment it is created, not the moment somebody opens it. So checks that were already booked when you turned the requirement on will not ask for the photograph, even if nobody has started them yet. Only checks created afterwards enforce it.

Where the photographs end up

They stay with the item on the completed report, so reading a visit back shows the evidence beside the answer. An action raised from a failed item links back to the check, so the photograph of the problem is one click from the action to fix it; there is no separate upload on an action itself in this release.

Evidence cannot be removed from a check once it is complete. That is deliberate — the record is the point.
