CRM Reporting

Daily and weekly CRM report emails

The three emails the CRM sends on its own — each rep's daily agenda, the team agenda for managers, and the Sunday weekly summary — and how to choose when they go out and who gets them.

Last updated October 14, 2026

The CRM can email your team a short summary of their work, so nobody has to remember to open it first thing in the morning. There are three of these emails. All three are switched off until an administrator switches them on, so nobody is emailed by a feature they have not chosen. The steps are under Switching the reports on below.

In this guide a tribe is one location, branch or business unit inside your organisation. The reports are sent per tribe, on that tribe's own time zone, so a 7:30 AM agenda arrives at 7:30 AM wherever the tribe is.

The three reports

ReportWho gets itWhat is in itDefault
Daily agendaEach member of the tribe's CRM teamTheir own overdue tasks, tasks due today, today's calendar events, and deals due to close in the next seven daysMonday to Friday, 7:30 AM
Team agendaThe people you chooseA table of what every CRM team member has on today, their tasks and events underneath, any tasks nobody is assigned to, and any tasks or deals still assigned to someone who is no longer on the CRM teamMonday to Friday, 8:00 AM
Weekly summaryThe whole CRM team, or the people you chooseThe week's tasks completed, calls, emails, meetings, new deals and deals won, with a line for each team memberSunday, 6:00 PM

The Default column is the schedule each report starts with once it is switched on. You can change the days and time for each report.

The CRM team is the tribe's team members with Include in CRM switched on — the same people you can assign tasks and deals to. Each person receives the email at the address on their team member profile, or their login email if the profile has none.

A daily agenda is only sent to someone who has something on that day. If a rep has no overdue tasks, nothing due, no events and no deals closing, they are not emailed. The team agenda works the same way for the whole team.

When the reports are sent

Reports only go to tribes that are actually working in the CRM. A tribe counts as active when, in the last seven days, somebody has created or completed a task, opened or closed a deal, booked a calendar event, or logged a call or a conversation. New contacts arriving on their own — from an import, an enquiry form or a sales system — do not count, because a list of customers growing is not the same as the team using the CRM.

WHY A TRIBE IS NOT GETTING REPORTS
If a tribe's CRM Settings page says no reports are being sent at the moment, nobody in that tribe has done any of the work above in the last seven days. The reports start again automatically the next time someone does — there is nothing to switch back on.

Switching the reports on

Each report has an on/off switch on the Scheduled Reports card of the CRM Settings page. Switch a report on for the whole organisation in the organisation's CRM Settings, as described in the next section, and every tribe that follows the organisation settings starts sending it. To switch it on for one tribe only, use that tribe's CRM Settings instead (see Changing the reports for one tribe). A report that is switched on still only goes to tribes that are using the CRM.

Setting the defaults for every tribe

An organisation administrator sets the schedule every tribe starts with.

  1. Open the organisation CRM and select CRM Settings in the left-hand menu.
  2. Scroll to Scheduled Reports.
  3. For each report, use the switch to turn it on or off, select the days it should go out, and choose a Time. Times are in 15-minute steps.
  4. Under Send to, type any email addresses that should receive the team agenda or weekly summary — an area manager, for example — pressing Enter after each one.
  5. Select Save.

Team members cannot be chosen here, because they belong to a tribe. Each tribe chooses its own on its CRM Settings page.

ONE EMAIL FOR ALL YOUR TRIBES
An address typed in the organisation settings does not receive a separate email from each tribe. It receives one team agenda and one weekly summary with a line for every tribe that has the report switched on and has something to report, and each tribe's name links to that tribe's CRM. These go out at the time you chose, on the organisation's time zone. A tribe that changes a report on its own CRM Settings — to send it at a different time, say — stays in the organisation's email, and its own copies go to the people it chooses. If the tribe lists an address the organisation's email already reaches, the tribe keeps it on its list but does not send it a second copy, and the settings card says so. A tribe that switches a report off is left out. While the organisation's own report is switched off there is no organisation email, and each tribe sends to everyone it lists.

Changing the reports for one tribe

  1. Open the tribe's CRM and select CRM Settings in the left-hand menu.
  2. Scroll to Scheduled Reports. Each report shows Use the organisation settings ticked, which means it follows the organisation's schedule.
  3. Untick Use the organisation settings on the report you want to change. The fields become editable, starting from the organisation's values.
  4. Change the days and time, and choose who receives it. For the team agenda, pick team members under Team members and add any other addresses under Other email addresses. For the weekly summary, choose Everyone on the CRM team or Only the people I choose.
  5. Select Save.

To hand a report back to the organisation, tick Use the organisation settings again and save. The tribe's own choices for that report are cleared.

THE TEAM AGENDA NEEDS SOMEBODY TO SEND TO
Switching the team agenda on is not enough by itself: nobody receives it until someone is chosen — either an email address in the organisation settings, or team members and addresses in the tribe's own settings. Until then it is not sent, and the settings page says so.

Stopping the emails

  • To stop one report for one tribe, untick Use the organisation settings on that report in the tribe's CRM Settings, switch it off, and save.
  • To stop it for every tribe that follows the organisation, switch it off in the organisation's CRM Settings and save.
  • To stop one person getting the daily agenda and weekly summary, switch off Include in CRM for them in the tribe's CRM Settings. That also removes them from the CRM's assignee lists.
  • To stop an address you typed in, remove it from Email addresses or Other email addresses on the report and save. People who were added this way may not have a login, so their email tells them to ask an administrator to remove them.
