Appointments
Working with bookings
Seeing what has been booked, the emails that go out, and what to do when somebody wants to change one.
Last updated September 2, 2026
Appointments has two views — a Calendar and a List. Both are read-only. Opening a booking shows the customer's name, email, phone, the type, the tribe and any comments they left.
What happens when a booking arrives
- The appointment is recorded against the tribe.
- A contact is created, or an existing one matched by email and name.
- That contact is linked to the tribe.
- The customer is emailed New Appointment confirming the booking, with a calendar file attached.
- The tribe is emailed New Appointment with the customer's details.
There are no reminders
Changing or cancelling
You cannot. The customer's confirmation email asks them to phone the tribe if they need to reschedule, and the number shown is its main telephone — so make sure that number is right on every tribe.
Make sure the tribe email is set
The booking notification goes to the tribe's notification email address, falling back to the organisation's. A tribe without one means nobody at that tribe is told a customer is coming.
If a customer says they got no confirmation
The customer email can fail quietly — for instance if the tribe has no address or logo set. The tribe notification is sent separately, so it is entirely possible for the tribe to be told about a booking the customer never saw confirmed. Check the tribe's address, logo and contact details are complete.
Appointments count in your performance figures
Bookings feed the tribe and organisation performance graphs alongside calls and enquiries, and are part of the headline lead total — so a tribe that drives website bookings gets credit for them.
