CRM Contacts

Notes, and getting a colleague's attention

Writing notes on a contact or company, @mentioning someone, and what belongs in a note rather than a logged communication.

Last updated September 2, 2026

Notes are the running commentary on a contact: the context that makes the next conversation better. They sit on the profile, newest first, with who wrote them.

Note or logged communication?

Write a note whenLog a communication when
You learned something — a budget, a decision maker, a deadline. You actually spoke to them.
You want a colleague to know before they call.It should count towards last contacted and the activity report.

A note is not a touch. Writing "called, no answer" as a note keeps it out of the activity report and leaves last contacted looking stale — log it instead.

Mentioning someone

Type @ and pick a colleague to pull them into the note. They are notified, and the note is the context — which beats a message that says "can you look at this one" with no link.

WRITE FOR THE NEXT PERSON
Assume the person reading your note is covering for you while you are on holiday. "Wants a quote" helps nobody; "wants a quote for two vans, needs it before their lease ends 14 March, decision is with his partner" is worth writing down.
