Lodging and reviewing documents
Uploading a certificate against a tribe or franchisee, approving or rejecting it, and what happens to the one it replaces.

Go to Documents and press Lodge document. You can also lodge one straight from a card on a tribe profile, which fills in the tribe and the document type for you.
What it asks for

| Tribe or franchisee | Which options appear depends on what the type is about. |
| File | A PDF or a photograph of the certificate. |
| Title | Optional. Leave it blank and it takes the document type name. |
| Issued and Expires | Expiry types. The expiry date drives every reminder and the red state later. |
| Period | Period types. Written as 2026-07 for a month, 2026-Q3 for a quarter, or 2026 for a year. |
| Notes | Anything the reviewer should know. |
The five states
| State | What it means |
|---|---|
| Awaiting review | Lodged, waiting on an advisor. It does not yet satisfy the requirement. |
| Current | Approved and in date. This is the only state that counts as satisfied. |
| Rejected | Turned down, with a reason the tribe can see. |
| Expired | Was current, and the expiry date has passed. |
| Superseded | Replaced by a newer approved document of the same type. |
Reviewing
Documents waiting on you show as Awaiting review. Use the download icon to read the file, then the tick to approve or the cross to reject.
Rejecting asks for a reason, and that reason is shown to the tribe. "Wrong entity name on the policy" tells them what to do; a rejection with no reason produces the same wrong document again.
Types that need no review
If the document type has An advisor reviews it turned off, the document is Current the moment it is lodged. Use that for low-risk paperwork where the review step would only be a rubber stamp.
Replacing one that is wrong
There is no delete button on a lodged document. If the wrong file went up, or the expiry date is wrong, lodge the correct one against the same type and approve it — approving supersedes the previous one, so the right document becomes current and the wrong one drops underneath it. Reject the wrong one first if it is still awaiting review, with a note saying why.
