Organising people with categories

Creating the categories your contacts are grouped into, what each switch on a category does, and the quickest ways to file people into them.

A category is a named group of people — Customers, Suppliers, Prospects, Members. Each one gets its own entry in the left-hand People menu, so the group you look at every day is one click away instead of a filter you rebuild every time. Someone can belong to as many categories as makes sense.

Creating a category

Categories belong to the organisation and are shared by every tribe, so they are created at organisation level: PeopleCategoriesCreate Category.

Editing works the same way — the pencil beside a category on the Categories list opens it, and Delete People Category is at the foot of that form. Deleting removes the grouping, not the people in it.

Categories or tags?

Both label a contact, and it is easy to end up using them interchangeably. They are not the same thing.

KEEP THE LIST SHORT
The categories are a menu, and a menu of thirty entries helps nobody. If you find yourself creating a category for a one-off campaign or a single event, that is a tag.

Putting people into a category

  • One at a time — open the contact, Edit Profile, and pick from Categories under Categories & Classifications.
  • In bulk — tick the people on the list, then UpdateAdd categories. The same menu removes them again, and does the same job for tags.
  • During an import — choose a category on the Config step and every row in the file lands in it, or map a Person Category column and each row goes where the spreadsheet says.

A Person Category column may hold several categories in one cell, separated by commas, and the names are matched loosely — "VIP customers" finds "VIP Customer".

CREATE THE CATEGORIES BEFORE YOU IMPORT
The import can create missing categories for you, which is convenient on a tidy file and expensive on a messy one — "Customer", "customers" and "Custmer" all become categories of their own. Set the few you want up front, leave that switch off, and the import files everything into the list you meant to have.

Who can manage them

Seeing the Categories screen needs the View People Categories permission, and creating or editing one needs Edit People Categories. Filing a contact into an existing category only needs the usual permission to edit people.
