Reading a visit report and signing it off

What your tribe sees of a visit your advisor conducted, what the score means, how to sign the report off, and how to reply.

A visit is a check your advisor conducts at your tribe — a brand standards audit, a business review, a coaching visit. You do not fill it in; your advisor does, usually while walking round with you. The Visits page in the Compliance menu lists every visit to your tribe, scheduled and completed.

Before and during the visit

A scheduled visit shows its date and the advisor's name. Opening it before the visit shows only that it is scheduled; while your advisor is in the middle of it, the page tells you the report will appear once it is submitted.

The report

Once the visit is submitted, the page becomes the report. At the top is the outcome, then every item your advisor checked with a tick, a cross or a dash beside it, their photographs, and their summary for you. The actions raised from the visit are listed underneath, and you can close them from there.

Whether the number is shown depends on how your franchisor set up that kind of visit. When it is, you see the score out of one hundred and whether it passed. When it is not, the report still shows every item and the outcome; the number is something to talk through with your advisor.

Signing off

Some kinds of visit ask the franchisee to sign the report off. When one is waiting for you it appears in your To do under Visits to sign off, and the report shows a blue Sign off this visit card at the top.

  1. Read the report through, including the actions underneath.
  2. Type your name in the Your name box on the card.
  3. Press Sign off. Your name and the time are recorded on the report and the card disappears.
SIGNING OFF IS NOT AGREEING
A sign-off records that you have read the report. It does not say you agree with every finding. If you disagree with something, sign it off so the record is complete, and say so in a note — see below — where your advisor will read it.
A SIGN-OFF CANNOT BE UNDONE FROM THE TRIBE
Once the report is signed it stays signed, with the name and time you entered. If it was signed by mistake, or by the wrong person, ask your advisor.

Notes

Under every check, document and action there is a Notes thread. Anything you write there is visible to your franchisor, so it is the place to reply to a finding, explain a circumstance, or ask a question. Your advisor may have notes of their own that are marked private; you will not see those, and you cannot delete a note once it is posted.
