The Sunday-night email each tribe receives, what the four figures mean, why the phone call numbers are sometimes absent, and what to do with it on Monday.

Every Sunday night, each tribe is emailed a summary of the week it has just had. It is the one report that arrives whether or not anybody goes looking for it, which makes it the report most of your network will actually read.

The email carries the summary itself rather than pointing at a screen, and attaches a printable version so it can be put in front of a team meeting on Monday morning.

Each figure is shown against the week before it, so the report says whether things moved rather than only what the number was. It also names the busiest day and the busiest hour, which is the part most worth acting on — a tribe whose enquiries cluster on Tuesday mornings and whose phone goes unanswered then has a staffing problem it can see in one line.

Why the phone figures are sometimes missing

An organisation with no call tracking gets a report that describes enquiries and leaves phone calls out altogether. This is deliberate. The report used to open with "0 phone calls", which reads as a quiet week rather than as something nobody is measuring, and tribes drew the wrong conclusion from it.

The decision is made for the organisation, not for each tribe. Once any number exists under Assign Numbers, every tribe's report keeps the call figures — so a tribe without a number of its own still shows its zero beside the tribes that do have one, which is the comparison you want. A tribe that actually recorded calls always sees them, whatever else is true.

NO PHONE FIGURES IS A SETUP ANSWER, NOT A QUIET WEEK
If a tribe asks why its report says nothing about the phone, the answer is almost always that the organisation has no tracking numbers assigned. The guide on what call tracking is and what it needs to work explains what it would take.

What to do with it

The report ends with observations about the week and what to do about them, and attaches a guide on handling calls from new customers. The intention is that a tribe owner reads the figures, reads the one thing worth acting on, and takes it into Monday morning — rather than filing another set of numbers.

Head office and advisors receive their own versions covering the network rather than a single tribe, so the same week can be discussed from both ends without anybody having to build a report.
