Lodging your tribe's documents

Uploading an insurance certificate, a licence or a financial report from your own tribe, the states a document passes through, and what to do when one is sent back.

Your franchisor keeps a list of the documents each tribe has to hold — public liability insurance, a food safety licence, a lease, a quarterly profit and loss. Each one is a document type, and your job is to lodge the current version and replace it before it expires.

Knowing what is due

The To do page shows a card for every required document that needs attention, with a coloured label: Missing when nothing has been lodged, Expiring when the current one runs out within thirty days, Expired when it already has, and Rejected when your advisor sent the last one back. Each card has a Lodge button that starts the upload with the type already chosen.

Lodging one

  1. Press Lodge on a To do card, or go to Documents in the Compliance menu and press Lodge document.
  2. Choose the Document type if it is not already filled in. Only the types your franchisor expects the tribe to upload are listed.
  3. Choose the File — a PDF or a clear photograph of the certificate.
  4. For a certificate, enter the Issued and Expires dates from the document itself. For a periodic report such as a monthly P&L, enter the Period instead: 2026-07 for a month, 2026-Q3 for a quarter, 2026 for a year.
  5. Add a Title if the type name is not enough, and any Notes the reviewer should know. Then press Lodge.
THE EXPIRY DATE IS WHAT COUNTS
The expiry date you enter is what the system uses to decide when the document turns amber and then red, and when your franchisor is told it is running out. Copy it from the certificate exactly. A document lodged without one never expires on screen, which sounds convenient and is not — it means nobody is reminded to renew it.

What happens next

Awaiting reviewLodged and waiting for your advisor. It does not yet count as the current document.
ApprovedAccepted. This is now the current document for that type. Some types skip review and are approved the moment they are lodged.
RejectedSent back. The reason is shown under the status on the Documents page and on the To do card. Lodge a corrected version; you do not need to do anything with the rejected one.
ExpiredThe expiry date has passed. Lodge the renewal.
SupersededReplaced by a newer approved document of the same type. Kept for the record.

The Documents page lists everything your tribe has ever lodged, newest first, with a download button on each row. Filter by status or by document type to find one quickly. Documents cannot be deleted from the tribe; the history is the point.

A FILE ON AN ACTION IS NOT A LODGED DOCUMENT
If your advisor asks for a certificate through an information request, you can attach it to that request when you mark it done — but that does not lodge it as your insurance or licence, and the To do card will still say Missing. Lodge it from the Documents page as well.
