Project links and shared logins

download Download PDF

Links keep the things a project lives in — the staging site, the design document, the shared spreadsheet, the supplier portal — with the project instead of in somebody's bookmarks.

Adding a link

Give it a name that says what it is — "Staging site", "Design file", "Supplier portal" — rather than pasting a bare address. A list of unlabelled URLs is not a resource.

Links that need a login

A link can carry a login and password, which can be revealed or copied when someone needs them. It is genuinely useful for a staging site the whole team has to reach.

ONLY STORE CREDENTIALS THAT ARE MEANT TO BE SHARED
Everyone on the project — including external contributors — can reveal them. That is fine for a staging site password the whole team uses. It is not the place for a personal login, a customer's account, a payment provider or anything that would matter if it left the project. Use a proper password manager for those.

When the project ends

  1. Remove external contributors.
  2. Change any shared password that was stored here.
  3. Delete links to environments that no longer exist, so nobody follows a dead one next year.
