Automatic payments

download Download PDF

Every member has an automatic-payment switch. The member page shows it as a badge — Auto Payments: On or Auto Payments: Off — and the members list has an Automatic Payment column so you can scan for it.

It defaults to off

ADDING A CARD DOES NOT SWITCH IT ON
These are two separate things. A member can have a perfectly good card saved and still never be charged, because automatic payments were left off. Whenever you add or request a card, check the switch as well.

Turning it on

From the members list, the row menu has Enable Auto Payment and Disable Auto Payment, so you can fix several members without opening each one.

The tribe has its own switch too

A member is charged automatically only when their own switch is on and their tribe collects membership payments. Each tribe's switch is on its Memberships dashboard, in the Membership payments card, labelled Collect membership payments. Only organisation administrators who can manage memberships can change it; tribe users see it but cannot switch it.

  • Turning it on asks you to confirm first, because every member of the tribe with automatic payments on is charged their outstanding balance in the next nightly run.
  • Turning it off stops those charges straight away. It does not remove charges already on a member's account, and nothing is lost: turn it back on to resume.
  • A tribe that is Paused or Deleted never charges its members, even with the switch on. The card says so when that is why nothing is being collected.
  • A member with no tribe is billed by the organisation rather than a tribe, so there is no switch for them. They are charged only while the organisation's Main Store Payment Settings, in the organisation's Store Settings, is set to Live Payment Mode.
SEPARATE FROM THE ONLINE STORE
The tribe's Main Store Payment Settings in Tribe Store Settings only control payments to its online store. Setting the store to Disabled does not stop membership charges, and setting it to Live does not start them. Use Collect membership payments for that.

Payment currency

Membership card payments use your organisation’s currency. Automatic collection currently supports currencies with two decimal places, such as USD and AUD. If your organisation uses a currency with a different number of decimal places, collection stops without sending a payment. Contact Gorilla Dash support before enabling automatic payments in that currency.

Adding a US bank account is available only when your organisation uses USD and the payment provider for the collecting tribe or organisation enables ACH. This applies to staff, customer portal and membership invitation screens. An existing bank account in a different currency cannot collect the balance; add a compatible payment method instead.

When to leave it off

  • The member pays by bank transfer or cheque, and you enter payments manually.
  • You are in a dispute and do not want to take money while it is unresolved.
  • Before you record a refund — see the guide on refunds.

Finding the ones that are off

The Cash Position screen spells this out on the Coming Due tab: it tells you how much is scheduled that will not collect automatically because there is no card on file or automatic payments are off. That figure is the fastest way to find money you are about to not collect.
