The number sent is always lower than the number on the list. That is deliberate — every exclusion below protects either the customer or your ability to reach anybody at all.
| Excluded | Why | Can it be undone? |
|---|---|---|
| Unsubscribed | They asked you to stop. | Only by them. Never re-add someone by hand. |
| Bounced | Their address rejected mail. | Yes, if it was temporary — remove them from the bounced list. |
| Failed | The send could not be completed. | Yes, once the cause is fixed. |
| Marketing emails switched off | Someone turned marketing off on their contact record. | Yes, on the contact — if they did not ask for it. |
| No email address | Nothing to send to. | Add one. |
Unsubscribes are permanent
DO NOT PUT SOMEONE BACK
Bounces are worth attention
A bounce is often a person who has changed jobs — which makes it a sales signal as much as a data problem. Someone worth keeping is worth a phone call to get their new address.
Why my list of 5,000 sent to 4,100
Add up the unsubscribes, bounces and failures on your dashboard and the gap usually explains itself. A gap that keeps growing means the database needs attention, not that the campaign went wrong.
