Setting up calendar event types

download Download PDF

Event types are the kinds of appointment you put in the CRM calendar — a site visit, a demonstration, a review meeting, a survey. They colour the calendar and let you count what your team is actually going out to do.

Choosing them

Name them after what happens, in the words your team uses. Five or six is plenty — enough that a glance at the calendar tells you what kind of week it is, few enough that nobody hesitates when booking.

Colours

Give each type a distinct colour, and keep the meaning obvious — revenue-earning visits in one colour, internal or admin appointments in another. A calendar full of one colour tells you nothing at a glance.

Why it is worth doing properly

Meetings booked is one of the few honest measures of outbound effort. It only works if the types are used consistently — otherwise the number counts everything from a major pitch to a five-minute call.
