Adding a contact

Open Contacts and choose Create Contact. Most contacts arrive on their own — from an enquiry, an import, or a sale — so this is for the ones you meet: a name from an event, a referral, someone who rang.

The least you need

A name and either an email address or a phone number. Everything else can be filled in later, and usually is — a rep taking a name off a phone call should not be stuck on a form.

If they already exist

Search before you create. A contact who has ever sent an enquiry, been imported, or bought something is already in here, and adding them again gives you two records with half the history each.

THE SAME PERSON CAN EXIST ONCE PER TRIBE
Contacts belong to a tribe, so a customer who deals with two of your tribes legitimately has a record at each. That is by design. Two records in the same tribe is a duplicate — the profile flags it, and Merge Contacts joins them.

Straight after creating

  • Mark them an active lead if you intend to work them, so they appear in the lead lists.
  • Book the first task while you remember what you promised.
  • Set the lead source — it is the only chance you will get to record it accurately.
