Scheduling a visit

Visits appear on their own when a schedule is set up. You can also book one directly, which is what you do for a first visit, a follow-up, or a check that is not part of the regular cycle.

Go to Visits and press Schedule visit.

What the dialog asks for

ONE PICKER, TWO KINDS OF SUBJECT
The Tribe or franchisee field lists both, labelled. Which options appear depends on the template — a template set up as being about a franchisee will not offer you tribes.

Schedule, or start now

  • Schedule books it and leaves it in the list to be started later.
  • Start now books it and opens it immediately, ready to work through. This is the one to use when you are standing in the tribe.

Changing a visit after booking it

Open the visit and press Edit. You can change the name, the scheduled and due dates, how it is being conducted and which advisor is doing it. This is available while the visit is scheduled, in progress or returned.

A COMPLETED VISIT CANNOT BE EDITED, WAIVED OR CANCELLED
Once a visit is submitted it becomes a record of what was found on the day. The Edit button goes away, and so do Waive, Cancel and Delete — those only apply while a visit is scheduled, in progress or returned. If a submitted visit is wrong, the reviewer can press Review and Return it with a note, which reopens it for correction and resubmission; a self-assessment or checklist waiting at Awaiting review works the same way. A visit approves itself on submit, so book a fresh one and note in its summary that it supersedes the earlier record.

Visits that do not apply

Use Waive, under the More menu, when a scheduled check genuinely does not apply — a kiosk with no kitchen, a tribe that was closed for refurbishment. You give a reason, and the check stops counting as overdue while staying on the record.

Use Cancel when it was raised in error. Both leave a trace; neither removes the tribe from the schedule next period, and neither can be undone — a waived check has no un-waive, so use it only when the check genuinely does not apply. Both are only available before the check is submitted.
