The Event Calendar is for internal events — a conference, a training session, a network meeting. Press New Event on the calendar.
Where it happens
Location Type decides which fields you get:
| Type | You fill in |
|---|---|
| In person | Physical Location — an office address, room number or building name. |
| Online | Meeting Link — a Google Meet, Zoom or Teams link. |
| Both | Both fields. |
The location here is a genuine physical place, not a tribe. Events belong to the organisation as a whole.
Draft and published
The email subject
Email Subject fills itself in from the event title the first time, but does not follow later changes. Rename the event and the invitation still goes out under the old subject unless you update it. It is used for both the invitation and the reminder.
Timezones
Each event has its own timezone, defaulting to your organisation's. The time shown is always the event's local time, not the viewer's — somebody in another country sees "10:00" and the timezone printed beside it, and has to do the conversion themselves. Put the timezone in the event title for anything international.
Event types and colour
Set up Event Types and give each a colour, so the calendar is readable at a glance. Draft events show in a faded version of their type colour.
Attachments
Files attached to the event are sent with every invitation and reminder. Keep them small — an agenda, a map. They go to everybody, every time.
